Who we are

Quobo Finance is a finance and bookkeeping service operated by Quobo Labs, LLC (“Quobo”, “we”, “us”). This policy explains what we collect when you use Quobo Finance, why, who helps us process it, and how long it's kept. Questions go to hello@quobo.co.

Quobo Finance is used by companies and their accountants. The company that invites you controls its workspace and the financial records in it; we hold and process those records on its behalf.

What we collect

• Your account: your email address, the display name you choose, and your role in each company workspace you're invited to.
• A company's books: the ledger and journal entries, bank accounts and imported bank transactions, bills and invoices, payments, vendors and customers (including their contact and tax details, such as W-9 status), the chart of accounts, schedules and month-close records.
• Uploaded documents: receipts, statements, contracts and other files added to the document vault. These can include tax forms such as W-9s, which carry taxpayer identification numbers.
• Messages to Quill: what you type to Quill, the AI assistant, and replies you send to Quill's emails, along with Quill's responses and the actions you approve or reject.
• Sign-in data: the session cookies that keep you signed in. We don't use advertising or analytics cookies, and we don't track you across other sites or apps.

We use this information only to run Quobo Finance for the company you work with: keeping its books, preparing its reports, sending the emails it asks us to send, and answering support requests. We don't sell it, and we don't use it for advertising.

Who processes it, and why

We rely on these service providers. Each receives only what its job needs.

• Supabase — our database, sign-in and file storage. Your company's records and uploaded documents are stored with Supabase in the United States (US East).
• Vercel — hosts the Quobo Finance website and the servers that run it.
• Anthropic — powers Quill: chat, reading uploaded documents to extract their details, and analysing a company's books for recommendations. When Quill works, the relevant ledger data, documents and messages are sent to Anthropic. Under Anthropic's commercial terms, that data is not used to train its models.
• Voyage AI — turns text from a company's books — such as entry descriptions, vendor names, extracted document text and Quill's findings — into search embeddings, so Quill can find related records by meaning rather than exact words.
• Resend — sends Quobo Finance's email, such as invoices to a company's customers and Quill's digests.
• Stripe — takes online invoice payments, and only when online payment is turned on. A customer who chooses to pay online enters their payment details on Stripe's page; Quobo Finance never sees or stores card or bank numbers.

Quill is part of Quobo Finance. If your company doesn't want its data sent to Anthropic or Voyage AI, contact us at hello@quobo.co before using Quill.

How long we keep it

A company's financial records — its ledger, bills, invoices, bank transactions, documents and Quill history — stay with its workspace for as long as the workspace exists.

Deleting a user account removes that person's sign-in and personal profile. Entries that person made stay in the company's books, because they are the company's accounting record, not the individual's.

Security

All traffic to Quobo Finance is encrypted in transit. Each company's data is separated at the database, so members of one company can't read another's, and access to a workspace is by invitation only. Within a company, roles limit who can change the books; read-only members can view but not edit.

No system is perfectly secure. Keep your password private, and tell us at hello@quobo.co if you think your account has been compromised.

Children

Quobo Finance is a business service. It is not directed to children, and we don't knowingly collect information from anyone under 16.

Your choices

You can update your display name and opt out of Quill's digest emails in Settings. To see, correct, export or delete information about you, email hello@quobo.co. Where a request concerns a company's books, we'll work with that company, since it controls those records.

Changes and contact

If we change this policy, we'll update the date at the top of this page, and tell companies using Quobo Finance about material changes before they take effect.
